How to Make Events Private
Events and replays can be made public for anyone to access or secured to make them private. If your events do not have a passcode set on them, they are considered public, and anyone with the link can attend. To turn on the passcode, there are two options:
Global Protection:
Menu > Room Settings > 4-digit Passcode
This option is a global setting that protects the whole room at all times for the room link specifically. Anyone that's not a member of the room's staff (Owner, Admin, or Host) will have to enter the passcode in upon any attempt to enter the room via meetn.com/roomname.
⚠ Important: The global passcode will not apply to dynamically generated link for scheduled events. If an attendee tries to attend a non-passcoded event from an event link, they will enter without a passcode prompt, however if they try to use your static /roomname link, they will be given the passcode.
Per Event Protection:
Menu > Events & Recordings > New Event
While creating a new event, you can set a passcode to be used just for that event only. This event specific method does not alter or interfere with the room's settings normally. Event passcodes can be different every time too. So let's say your room's normal passcode is 1111, your event can be set to 2222.
⚠ Important: Just like with the global passcode, attendees will be required to enter a different passcode for the event. For example, if the room code is set to 1111, attendees entering via /roomname link will need to enter 1111. If they use the event link, it will be 2222.
Replay Protection:
Menu > Events & Recordings > EventName > Basic Information
Replays can also be passcode protected, even if the event itself was public. Please remember that if an event was public, the replay will be public by default. And if the event was private, the replay will inherit the passcode that was set during the new event creation process, not the global passcode.
Note: If your room has the global passcode set but you don't set one for a scheduled event, the event will not inherit the global passcode. Only the passcode set during the new event creation process.
Waiting Room:
⚠ Important: The passcode is NOT a replacement for the waiting room. The passcode and waiting room can both be used at the same time for additional security.
For example if you're having multiple 1:1 meetings in a day, it would be impractical (and very tedious) to change the passcode after every single meeting. One global passcode and enabling the waiting room will allow you to securely meet with each client and not need to change settings constantly. Simply provide all your clients the same passcode, and manually allow them in one at a time when appropriate.
